If not explicitly stated otherwise in this privacy policy, the general notes on data protection of RoBe apply with regard to data protection.
Furthermore, the following points apply:
RoBe collects data about accesses to the Alumni Portal (so-called server log files). The access data includes: Name of the website accessed, file, date and time of access, amount of data transferred, notification of successful access, browser type and version, the user's operating system, referrer URL (the website previously visited), IP address and the requesting provider.
RoBe uses the log data only for statistical evaluations for the purpose of the operation, security and optimization of the website. However, RoBe reserves the right to subsequently review the log data if there is a justified suspicion of unlawful use based on concrete indications.
RoBe processes the data that users of RoBe Alumni/-ae disclose when registering on the alumni portal and enter in their profiles and/or subsequently change and save for the purpose of evaluation and uses this data to send information and newsletters on topics related to the organization, careers, events, offers and services as well as to manage the registration of users for events.
In addition to the data provided by users themselves, RoBe also collects and processes various data relating to the use of the alumni portal by users. These are the time of the last login, number of logins, time of registration (date and time). The purpose of processing this data is to make the alumni portal fully functional for users and to improve the usability of the web platform for users. In addition, RoBe uses the usage data collected in this way for statistical purposes in order to obtain information about the use of the alumni portal and to be able to adapt its functions and the offers available via it and, if necessary, to expand and improve them.
The basis for the processing of personal data of the user for the stated purposes is the corresponding declaration of consent (Art 6 para 1 lit a DSGVO) of the user. Users can revoke this consent at any time informally by sending an email to alumni@rochester-bern.ch. The legality of the data processing up to the time of the revocation remains unaffected.
There is no obligation for users to provide data. However, users cannot use the alumni portal without providing certain basic data during registration (name, field of study, contact details): When registering on the alumni portal at robealumni-ae.ch, it is mandatory to provide title, surname, first name, street, zip code, city, country, e-mail, desired membership, education (institution, course of study, start and end). Optionally, a profile picture, telephone and mobile number as well as the field of study can be entered during registration. Users can voluntarily add further information to their profiles: Work experience, further education, language and IT skills as well as further knowledge and skills, extracurricular activities, hobbies and interests, social networks as well as documents (e.g. CV) can be added. Users can define the visibility of the individual details in their profiles. By default, the surname, first name and degree program (in Who is Who) are visible. Users have the option to revoke this default visibility at any time in their profile.
The data that users disclose when registering on the alumni portal and enter in their profiles is stored by RoBe until users request the deletion of the profiles.
The data is hosted on a server of the company SWITCH AG, Zurich in Switzerland. The provider of the software for the alumni portal and for data processing is the company TalentWerk AG, Rosenbergstrasse 60, CH-9000 St. Gallen.
Data provided by users of RoBe Alumni/-ae during registration will only be passed on to third parties, in particular to companies or other organizations looking for employees, if users of RoBe Alumni/-ae expressly give their separate consent to this.
In accordance with the applicable data protection regulations, users of RoBe Alumni/-ae have the right to information, the right to correction and deletion of their personal data and, if applicable, the right to restriction of data processing. In addition, users have the right to request that RoBe make the data it has collected from users available on a data carrier in a common file format or to transmit it to third parties named by users.
